NW Custom Apparel Shipping & Delivery Policy

Thank you for choosing Northwest Custom Apparel for your custom screen printing and embroidery needs. Since every order is custom-made, our total delivery process involves two distinct and sequential phases: Production Time and Shipping Time.

1. The Custom Order Timeline

Our commitment is to deliver high-quality, perfectly branded apparel on time. The total time until your order reaches you is:

Total Delivery Time = Production Time + Shipping Transit Time.

A. Production Time (The Clock Start)

Production Time is the time required to order blanks, digitize the logo (if needed), decorate the garments (screen print or embroider), fold, and package your order.

  • When Production Starts: Your order’s production time officially begins only after we receive:
    1. Final Artwork Approval (sign-off on the digital proof or physical sample).
    2. Full Payment or Required Deposit.
  • Standard Timeline: Our standard Production Time is 10 business days. Coupled with our standard 3-day shipping, this results in a Total Estimated Timeline of 13 business days.

New Embroidery Designs: Please note that pre-production tasks (digitizing, proofing, sampling) add time and must be completed before the production clock starts. Allow an additional 5-7 days for new embroidery digitizing.

B. Rush Orders

We understand critical deadlines. Rush production is available subject to our current capacity and product availability, and a fee will apply to expedite the production phase of your order.

Required Turnaround

Rush Fee (Added to Total)

Expedited Delivery

25% fee for all rush orders.

Delivery Under 5 Days

50% rush fee for delivery under 5 days.

Note: Rush fees apply to the production schedule only and do not include expedited shipping costs charged by the carrier.

2. Shipping Methods and Costs

Once your order is complete, it will be carefully packaged and shipped according to your selection.

A. Carrier Options

We partner with reliable national carriers for fast, secure delivery:

  • Standard Shipping: We primarily use UPS Ground or USPS.
  • Expedited Shipping: Available upon request.

B. Shipping Costs

Shipping fees are calculated based on the weight, dimensions, and destination zone of your packaged order. This cost is provided on your final quote before production begins.

C. Local Pickup (Milton, WA)

Customers are welcome to pick up their completed orders directly from our Milton facility: 2025 Freeman Road East Milton, WA 98354, during standard business hours. Please arrange pickup with your sales representative.

3. Order Tracking and Delivery

A. Shipment Tracking

You will receive a shipment confirmation email with your tracking number as soon as your order is picked up by the carrier.

B. Tracking Disclaimer

Northwest Custom Apparel is not liable for carrier delays due to weather, mechanical failure, or circumstances outside of our direct control once the package is with the carrier.

C. Incorrect Shipping Address

The customer is responsible for providing the correct delivery address during the order process. If an order is returned to us due to an incorrect address, the customer is responsible for the full cost of re-shipping the order.

4. Guarantees, Spoilage, and Errors

A. Guaranteed On-Time Delivery

We proudly offer an On-Time Delivery Guarantee: If we don’t ship your order by the agreed-upon completion date (as noted on your final invoice), we will give you a 25% discount.

Disclaimer: This guarantee applies to our production schedule and does not cover delays caused by the shipping carrier or delays resulting from late client approval.

B. Damages in Transit

If your order arrives damaged, you must notify your sales representative within 48 hours of delivery and retain all original packaging to file a claim with the carrier.

C. Custom Order Variance (Under/Over Runs)

Due to the nature of custom screen printing and embroidery, production processes may result in a slight variation in the final quantity. We strive to deliver the exact quantity ordered, but we maintain an industry-standard Under/Over Run Allowance: a variance of 3% to 5% is acceptable.

5. International Shipping

A. Availability

At this time, we only ship within the United States.

B. Duties and Taxes

If international shipping becomes available in the future, please note that the customer is responsible for all customs fees, import taxes, duties, and brokerage fees charged by the destination country.

6. Packaging and Presentation

All garments are carefully folded and boxed to ensure they arrive in presentation-ready condition. We take pride in ensuring your custom apparel is ready for immediate use.
